Administrative Assistant (Corporate Education) - Interprofessional Education - Regular Full-Time (222164)

We currently have a Regular Full-time opportunity for an Administrative Assistant (Corporate Education) in the Interprofessional Education Unit at our Bayview campus.

Hours of Work: Weekdays, Days, 8 hrs; As per schedule

Summary of Duties:

This position reports to the Director of Interprofessional & Academic Education. The Corporate

Education Assistant provides administrative support to the Director of Interprofessional &

Academic Education as well as for key activities associated with the Sunnybrook Education

Advisory Council and Education Strategic Plan.

Administrative Support:

  • Assists with calendar management for the Director of Interprofessional & Academic
  • Education and for corporate education/education priority related meeting bookings where complexity is involved (e.g. committee-related, inter-organizational, working groups linked to education strategic priorities)
  • Provides support to plan, implement and evaluate corporate education conferences (e.g. annual Sunnybrook Education Conference, annual Interprofessional Collaboration Showcase)
  • Supports planning, implementation and evaluation for corporate education workshops, rounds and orientation sessions (e.g. Education Research Rounds, Interprofessional Grand Rounds, Interprofessional Orientation) Facilitates planning, execution and follow up for corporate education celebratory events (e.g. Education awards celebration, annual Education Week events)
  • Supports juried competition processes related to corporate education (e.g. Education Grant program, Education Awards, Alternative Funding Plan/Education Research Unit Joint Research Grant)
  • Supports communications related to corporate education (e.g. intranet updates, internet updates, newsletter preparation/distribution, annual education report preparation)
  • Organizes, processes and monitor budget expenditures
  • Assists with survey creation, distribution and results collation
  • Requisitions supplies as required to support interprofessional education and corporate education functions
  • Tracks expenditures related to corporate education functions and prepare budget summaries
  • Provides meeting notes for select meeting instances
  • Performs cross-functional and/or other duties consistent with the job classification, as assigned or requested by the Director which may include administrative duties.

Qualifications/Skills:

  • Completion of an undergraduate degree or relevant post-secondary Administrative
  • Assistant/Office Management/Project Management education
  • Demonstrated advanced working knowledge of Microsoft Access, Word, Excel, Outlook and Power Point & Adobe Professional required.
  • Demonstrated excellent written and oral communication skills
  • Experience/ability to review, edit/proofread, summarize information succinctly/clearly for
  • corporate level reporting and communications
  • Experience supporting education related events/forums including conference style events highly preferred
  • Demonstrated interpersonal abilities, team-based skills, and customer oriented approach
  • Demonstrated tact, discretion and good judgment in dealing with extremely sensitive and confidential issues required.
  • Superior time management, organizational skills, accuracy and attention to detail.
  • Demonstrated independence and comfort in taking initiative on resolving issues within scope of responsibility
  • Experience/comfort with education-related technologies (e.g. web casting, videoconferencing, online survey tools, audience response technologies) and events preferred
